Partnership Advisor

Office: Geneva
Activity Rate: 100% FTE
Reports to: Chief Executive Officer

Summary of the Position
The Partnership Advisor at the World Heart Federation (WHF) will play a key supporting role in nurturing and sustaining strategic relationships with donors and partners. Reporting directly to the Executive Director, the Advisor will contribute to the coordination and management of institutional, philanthropic, and private-sector partnerships, with a focus on background support, donor mapping, proposal coordination, reporting, and partner engagement logistics.

This position is ideal for a strategic, detail-oriented professional with experience in partnership development, grant processes, and donor stewardship. The Advisor will work behind the scenes to ensure strong, sustained donor relations and the smooth execution of engagement activities.

Key Responsibilities:
• Donor Intelligence & Mapping
• Conduct in-depth research on prospective donors, including philanthropic foundations, multilaterals, corporations, and high-net-worth individuals.
• Maintain and continuously update a database of current and potential donors, tracking key information, interests, timelines, and contacts.
• Support to Proposal Development for Senior Director of Partnerships
• Assist in the preparation of proposals and grant applications by compiling relevant data, background materials, case studies, and financial summaries.
• Coordinate with internal teams to ensure timely delivery of materials required for funding applications and renewals.
• Reporting & Compliance
• Support the drafting and submission of timely donor reports, ensuring compliance with donor requirements and alignment with WHF impact metrics.
• Track donor deadlines, deliverables, and reporting cycles using appropriate tools.
• Relationship Stewardship
• Maintain regular communications with donors, including tailored profiles on donation portals, thank-you letters, and invitations to WHF events.
• Support the planning and execution of donor engagement meetings, briefings, and follow-ups.
• Strategic Support to Senior Leadership
• Prepare briefing documents, donor profiles, talking points, and meeting notes for WHF leadership in preparation for partner meetings.
• Assist in setting internal processes for donor engagement, stewardship, and retention.
• Cross-Team Coordination
• Work collaboratively across WHF teams (advocacy, communications, programs, and operations) to support partnership program implementation.
• Help align fundraising and partnership activities with organizational priorities and strategic goals.
Qualifications and Competencies
• Minimum of 7–10 years of relevant professional experience in partnership development, fundraising support, donor relations, or institutional development in an international context.
• Demonstrated experience in supporting proposal writing, donor research, and reporting for foundations, multilaterals, or corporate donors.
• Excellent written and verbal communication skills in English; knowledge of French and/or Spanish is an asset.
• Strong organizational skills, attention to detail, and the ability to manage multiple deadlines.
• Comfortable working independently and proactively in a small, dynamic, multicultural team.
• Strong proficiency with donor CRM systems, Microsoft Office Suite, and virtual collaboration tools.
• A solid understanding of the global health and non-profit funding landscape, with a genuine interest in cardiovascular health and noncommunicable diseases.
